This policy explains how Gower Capital Group Ltd ("we", "us") collects and uses your personal information when you apply for housing with us through our Gower Living and Gower Capital Property Group websites, and your rights under the UK GDPR and the Data Protection Act 2018.
When you complete an application we collect: your name, date of birth, contact details and National Insurance number; next‑of‑kin details; your current housing situation and history; benefits, income and Managed Payment preferences; references; and information about your support needs.
Some of this is special category data (information about your health, including mental health) and criminal offence data (convictions, probation and licence information). We only collect this where you provide it, to assess a suitable and safe placement.
We share information only where necessary with: your referring organisation (e.g. local authority housing options or support teams); support providers and probation services involved in your care; Rent Smart Wales and local authorities where required; the Department for Work and Pensions (for Universal Credit Managed Payments); an approved tenancy deposit scheme; and our service providers who host the website and send our email notifications. We do not sell your information.
We keep successful applicants' information for the duration of the occupation contract and for up to six years afterwards to meet legal and accounting requirements. Unsuccessful applications are kept for up to 12 months and then securely deleted.
Your information is stored securely and access is restricted to the housing team. Our website uses encrypted (HTTPS) connections.
Anyone may report a complaint, including tenants, neighbours and members of the public. We record the details you provide, your category, optional name, email address, phone number or other reply details, the property concerned, relevant evidence, our investigation, actions and responses. We also record the time you acknowledge this notice and its version. You may omit contact details to report anonymously, although we cannot reply without a contact route.
Gower Capital Group Ltd manages the complaint record. Gower Capital 2 Ltd is also a controller where the matter concerns its own landlord duties. Contact mail@gowercapitalgroup.com for either company. We use complaint and safety inspection records to investigate, respond, manage homes safely and meet applicable legal obligations, relying on legitimate interests (UK GDPR Article 6(1)(f)) and legal obligations (Article 6(1)(c)) as applicable. The checkbox acknowledges this notice; it is not marketing consent and does not waive your rights.
Access is restricted to authorised staff. Relevant details may be shared where necessary with the responsible landlord, contractors resolving the issue, professional advisers, insurers, a redress body or regulators. We minimise identifying details shared with another party and assess any sensitive information separately. Please avoid including unnecessary health information, criminal allegations or third-party personal details.
Inspection photos focus on property condition and safety equipment. Reports record visit, upload and document-generation times; an upload time is not independent proof of when a photo was taken. We review retention when a complaint closes and retain only what remains necessary for the applicable licence/contract record period or legal claims, normally no longer than six years after closure unless a legal hold or specific duty requires longer. We remove unnecessary material sooner. You can exercise the rights below or complain to the ICO.
You have the right to access your information; to have it corrected or erased; to restrict or object to its use; to data portability; and to withdraw consent at any time. To exercise any of these, contact mail@gowercapitalgroup.com.
You also have the right to complain to the Information Commissioner's Office (ICO): ico.org.uk · 0303 123 1113 · Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF.
